What do I need to know before applying for a study mobility?

  1. During your stay abroad you will receive a monthly scholarship that you can use to cover some of your daily expenses.
  2. If you have already received a scholarship from our university, it will be added to your ERASMUS scholarship.
  3. During the university cycle, the minimum study mobility period is 3 months.
  4. The ERASMUS + study mobility is available for all three levels of study, bachelor’s, master’s and doctoral.
  5. Students are selected twice a year. Usually, the first selection is in October (for all students except 1st years students, bachelor), and the second selection is in March (only for bachelor students, 1st year included).  
  6. Selection criteria: application file (10%), overall GPA for the last completed exam session (10%), mobility plan (30%), interview (50%)
  7. In order to apply you need to send an application and have an interview. Details about these will be provided in the news section on the website before the selection process is organized.
  8. The subjects you will take at the host university must be equivalent to the subjects in the study plan. Therefore, it is necessary to choose courses similar to those provided by your home university.
  9. Most universities have student associations dedicated exclusively to those who choose an ERASMUS + mobility and who organize cultural, educational and leisure activities.

  4. The ERASMUS + specialized practical training mobility is available for all three levels of study, bachelor’s, master’s and doctoral.
  5. The selection of students for the specialized practical training is conducted together with the spring selection for study mobility. The selection process involves creating an application folder and participating in an interview. Before deciding what to choose you can learn more about the process from the notifications posted on this site.
  6. During the academic year, there may also be selections organized directly by the Centre for International Cooperation (CIC) at Babes-Bolyai University. For this reason, it is recommended to regularly check the notifications posted on this web page and the CIC web page.
  7. For the specialized practical training mobility you do not need to take equivalent courses at the host university. It is therefore recommended to choose a period when you are not taking courses at your home university (e.g. holidays).
  8. There are partner universities that can provide mobility opportunities for specialized practical training at private organizations (NGOs, companies, etc.) with which we can sign new agreements.

What are Erasmus+ mobility for teaching and non-teaching staff:

Mobilities for teaching and non-teaching staff under the Erasmus+ programme are professional development opportunities that allow employees from educational institutions to spend a period of time at a partner institution in another participating country.

  • Teaching staff can apply for teaching assignments (TA) that provide the chance to teach students at the host institution and exchange good practices.
  • Non-teaching staff (administrative, technical, etc.), can apply for Staff Training (ST), involving activities such as structured training courses or study visits. Their aim is to learn from the experience of other institutions, improve their skills and contribute to the internationalization of the home institution.

General rules 

  • Implementation period: TA or ST type mobilities take place during the academic year, within the limits of the places allocated by the International Cooperation Center. The allocated destinations or the type of mobility cannot be changed after selection.
  • Eligibility criteria: All employees who have an employment contract with UBB, either for an indefinite or a fixed period, can participate. Those with a fixed-term contract can participate ONLY after the Individual Employment Contract (IEC) is signed by both parties, and the mobility (and implicitly returning to UBB and completing the settlements) must take place during the contractual period.
  • Selection criteria:
    • 30% priority if the candidate has not been in another Erasmus mobility or has had a lower number of mobilities than other candidates
    • 20% motivation in the application form regarding the number of mobilities requested and the results to be obtained
    • 20% results that have been obtained and implemented in other Erasmus mobilities mentioned in the candidate’s file
    • 20% motivation letter supporting the importance of the requested mobilities for the candidate’s professional and/or personal development
    • 10% the candidate has offered at least one tutoring course/meeting for incoming Erasmus+ students in the 2024-2025 academic year or offers such activities in the current academic year or has participated in organizing a BIP (for teaching mobilities), respectively providing administrative support for international students or teaching staff (for training mobilities)

Required documents and mobility period

  • Invitation from the host institution: This is requested by the candidate after the final results are published and must be in accordance with the number of days approved during the selection process (unless there is another justified academic purpose for the trip). A greater number of days per invitation (than, for example, 5 days) implies a greater number of teaching or activity hours at the host university.
  • How to calculate the duration (mobility days): The number of mobility days requested is calculated from the date/time of departure from the country to the date/time of return.
    • Travel by personal car: the travel period is certified with a gas receipt for refueling the car upon exiting and entering Romania.
    • Excess days on the application: if the application includes more travel days than those approved (for example, due to a later departure), a declaration or the travel ticket will be attached to the request for the Rector’s Disposition.

Specific objectives

  • Staff Training (ST): the main objective must be training and acquiring new skills. Collaborative activities are considered added value, but cannot be the main objectives. Simply visiting the university, the library or laboratories without mentioning the concrete connection to the activity at UBB cannot be considered a training/improvement activity.
  • Teaching Assignments (TA): the teaching mobility implies 8 hours of activity for a period between 1 and 7 days of travel and 16 hours of teaching for mobilities longer than 7 days, of which 5 are working.

Financial and logistical aspects

  • Green Travel: if the beneficiary uses green travel (train, bus or personal car used by at least 2 Erasmus scholarship beneficiaries), an additional travel amount is allocated according to the financing contract. The means of transport must be the same for all external transport.
  • Mobility cannot be completed: if the mobility cannot be completed, the amounts allocated as an advance by the beneficiary are not settled.

Withdrawal, interruption and force majeure situations

  • Interruption or early return: If the beneficiary wishes to return to the country sooner or interrupts the mobility, he/she is obliged to notify the Erasmus Office within a maximum of 48 hours (by email: diana.son@ubbcluj.ro) and provide supporting documents. The final mobility documents must comply with the actual mobility period.
  • Force Majeure: In case of force majeure, the beneficiary is obliged to notify the Erasmus Office by email within a maximum of 48 hours from the date of the event, together with supporting documents.

Withdrawal after acceptance: if the beneficiary wishes to withdraw from the mobility after receiving the acceptance from the host university, the withdrawal is only made with approval at the Rectorate level based on a written request, which will include the reason and supporting documents. The host university will be informed by the Departmental Erasmus Coordinator or by the beneficiary with the approval of the content of the message (by the Departmental Coordinator or the Erasmus Office).

Information

Short-term mobilities (e.g. Blended Intensive Programmes – BIP) are a new mobility format within the Erasmus+ programme, designed to make international exchanges more flexible and accessible to a larger number of students and staff. They consist of short, intensive courses or programmes, characterised by the mandatory combination of two components:

  1. Virtual component: a mandatory online learning period that facilitates virtual collaboration and teamwork on specific tasks, integrating all participants.
  2. Physical Component: a period of 5 to 30 days of physical presence at the host university abroad. This stage reinforces the virtual part and involves interactive activities, lectures, workshops or study visits.

The main objective of BIPs is to promote innovative teaching and learning methods (including the use of digital tools), to encourage transnational cooperation and to provide an international experience to groups of students and staff who cannot participate in long mobilities (e.g. for financial, study or personal reasons).

Participants and specific requirements:

  • Target Group: BIPs can be organized for students (all study cycles, including doctoral students) and for teaching and non-teaching staff (training or teaching).
  • Partnership: An BIP must be developed and implemented through a partnership consisting of at least three higher education institutions from at least three different countries participating in the Erasmus+ Programme.
  • ECTS (for students): A BIP must ensure the recognition of a minimum of 3 ECTS credits for participating students.
  • Funding: Participants (students and staff) benefit from Erasmus+ funding (daily grant) for the physical mobility period, plus an additional allowance for Green Travel, if applicable. The coordinating institution also receives organizational support for the implementation of the programme.

Incoming mobilities

Incoming Erasmus+ mobilities are programs where students or staff from partner universities visit a host institution for a study period, traineeship, or teaching/training assignment. The process is  primarily managed by the sending institution (your home university/organization) and facilitated through Erasmus+ Departmental coordinator from Faculty of Sociology and Social Work and Center for International Cooperation (see https://cci.ubbcluj.ro/erasmus/) .

Study Mobilities

The following steps outline the procedure for Erasmus+ Incoming Students applying to study at Babeș-Bolyai University (UBB) in Cluj-Napoca. The entire procedure is coordinated centrally by the UBB Erasmus+ Office (part of the Centre for International Cooperation – CCI), though the Erasmus+ Departmental Coordinator at Faculty of Sociology and Social Work handles academic aspects (like the Learning Agreement).

The process starts at your home university and then moves at UBB:

Phase 1: Before applying to UBB (at your home university)

  1. Check agreement and eligibility: confirm with your home university’s International Office that they have an Erasmus+ Inter-institutional Agreement with the Faculty of Sociology and Social Work for your study level (Bachelor/Master/PhD).
  2. Internal selection: apply and pass the selection carried by your home university according to their internal procedures. After passing the selection process you must be nominated by your home institution. You can only apply to UBB after we receive the official nomination.
  3. Academic planning (Learning Agreement):
    • Research the course curricula: The teaching language at the Faculty of Sociology and Social Work is mainly Romanian, but also Hungarian and English. For the 2025-2026 academic year, the offer for incoming students can be checked here.
    • Draft your Learning Agreement (LA), listing the courses you wish to take (aiming for 30 ECTS per semester).
    • Get the LA signed by your Home University Coordinator.

Phase 2: Application to UBB

Once nominated, you will receive instructions (usually via email) from the UBB Erasmus+ Office to submit your complete application package. Usually this means:

  1. Complete UBB application form
  2. Compile Document Package: Prepare all required documents, usually submitted as scanned PDF files (often one PDF per document):
    • Fully completed and signed UBB Application Form.
    • Learning Agreement (LA) signed by you and your home university coordinator (the Erasmus+ Departamental Coordinator will sign it later).
    • Copy of ID Card or Passport
    • Transcript of Records: official record of courses and grades from your current studies
    • Proof of language proficiency: UBB generally requires a B2 level for most subjects in English
    • Accommodation request (if desired): indicate your wish for dormitory placement within the application form (places are limited).
  3. Submit application: send the complete package by the relevant deadline to the UBB Erasmus+ Office (often via email to the contact person provided in phase 2).

 

Phase 3: Post-application and pre-arrival

  1. Approval & Acceptance: UBB processes your application. If accepted, you will receive:
    • An Official Letter of Confirmation from UBB (important for visa/residence permit).
    • Information regarding dormitory placement (if requested and granted).
  2. Visa/Residence permit: if you are a non-EU/EEA citizen, use the Letter of Acceptance to apply for the necessary student visa well in advance.
  3. Final Steps: Settle financial/grant agreements with your home institution and arrange travel.

 

Phase 4: Upon arrival

Your Erasmus+ Departmental Coordinator will act as you primary contact point for any academic issues.

Key Deadlines (General UBB Dates):

  • Winter Semester (Starts Oct): Nomination by July 1st / Application by July 15th.
  • Summer Semester (Starts Feb): Nomination by November 1st / Application by November 15th.

Important: Always follow the instructions and deadlines provided by the UBB Erasmus+ Office contact person you are in touch with, as these can sometimes vary slightly by partner agreement or academic year.

 

Incoming mobilities

Incoming Erasmus+ mobilities are programs where students or staff from partner universities visit a host institution for a study period, traineeship, or teaching/training assignment. The process is  primarily managed by the sending institution (your home university/organization) and facilitated through Erasmus+ Departmental coordinator from Faculty of Sociology and Social Work and Center for International Cooperation (see https://cci.ubbcluj.ro/erasmus/) .

Staff mobilities

The process is regulated by your home university, but in general, it includes the following steps: 

  1. Check eligibility and agreements: ensure that your home institution has an active Erasmus+ Inter-institutional Agreement with UBB/Faculty of Sociology and Social Work that covers Teaching (TA) or Staff Training (ST) mobility. You must also meet the internal eligibility criteria set by your home university
  2. Internal Selection: undergo the selection procedure organized by your home university.
  1. Activity planning: upon successfully passing the selection process at your home university contact the relevant department or colleague from UBB/Faculty of Sociology and Social Work to discuss and agree upon the purpose, activities, and dates of the mobility and request an invitation letter.
  2. Draft Mobility Agreement: prepare the Erasmus+ Mobility Agreement for Teaching/Training.
  3. Secure Signatures: the Mobility Agreement must be signed before you arrive by:
    1. The incoming staff member (you).
    2. The sending institution coordinator.
  4. Final Grant Agreement: after acceptance, you sign a Grant Agreement with your sending institution before departure to cover the financial aspects of your trip.
  1. Completion: at the end of the mobility, before you leave, you must obtain the Certificate of Attendance/Training signed by the Erasmus+ Departmental coordinator at Faculty of Sociology and Social Work and the signature on the Mobility Agreement (see step 5).

Summer schools

Rutgers summer school
Rutgers- Romania’s Revolution: Community Care for Vulnerable Groups in Romania is the result of over 15 years of collaboration with Rutgers, the State University of New Jersey/School of Social Work. During the summer school, every year in May-June, we host a group of 10-15 students from the USA, accompanied by Prof. Rebecca Davis. They participate in practical learning activities in the field of social work. The program lasts 4 weeks, of which in the first week the students visit a series of public and non-profit institutions and have meetings with teaching staff to learn about the development of the social work system in Romania. For the next three weeks they are placed at 1-2 partner institutions and carry out activities with beneficiaries.
 
In the 2025-2026 academic year, the program will take place between 20.05.2026-18.06.2026.
